The plain-language version: a business with one server and under 25 staff should look at Essentials, which needs no CALs. A business running a physical server or a couple of virtual machines buys Standard. A business running many VMs on one host, or needing Storage Spaces Direct and software-defined networking, buys Datacenter, because unlimited VMs on one Datacenter license quickly becomes cheaper than stacking Standard licenses.
Cores, CALs and the Bits Everyone Gets Wrong
Core licensing. Standard and Datacenter are licensed per physical core with a minimum of 8 cores per processor and 16 cores per server. A dual-socket server with two 8-core processors needs 16 core licenses. A single-socket 24-core server needs 24. Client Access Licenses. Standard and Datacenter also require a CAL for every user or device that accesses the server, and RDS CALs on top if people use Remote Desktop Services. Essentials includes its 25-user access. We can quote CALs alongside the server key; ask.
Standard's two VMs. Each Standard license covers two virtual machines on the licensed host. Need four VMs? License the host's cores twice. Beyond about six to eight VMs on one host, Datacenter usually costs less.
Which Version Should You Install?
For a new deployment, Windows Server 2025. It is the current release with mainstream support to October 2029 and extended support to October 2034, and it supports in-place upgrade from 2012 R2, 2016, 2019 and 2022. Windows Server 2022 is the release most software vendors certify against today and is supported until October 2031; choose it when an application vendor has not yet blessed 2025. 2019 and 2016 remain right for expanding an existing farm or matching a vendor requirement. 2012 R2 and 2008 R2 are for legacy applications only and should live behind a firewall.
