How to download, install and activate Microsoft Outlook 2021

Before you start
Outlook 2021 on its own is a single-app volume license. A few checks first save a reinstall later.
- This is the mail app alone. The suite is Office 2021 Professional Plus at $14.99, which is only a few dollars more.
- It is the app, not a mailbox. Keep using your existing Exchange, Microsoft 365, Gmail or IMAP account.
- Your key is not redeemed at setup.office.com. It goes into Outlook, under File, Office Account.
- Match the bit version of any Office on the PC. A 64-bit Office needs 64-bit Outlook.
- Support ends October 13, 2026. Outlook keeps running after that, but the security updates stop.

Download Microsoft Outlook 2021
Two supported routes, both from Microsoft. Use the first unless you look after several machines.

- Or use the Office Deployment Tool. Download the tool from Microsoft, add a configuration.xml naming Outlook, then run setup.exe /configure configuration.xml. Ask and we send the file ready to use.
- Ignore setup.office.com. This is a volume license, so there is nothing to redeem with a Microsoft account, and a key typed there is refused.
- Match the bit version already on the PC. Open any Office app, then File, Account, About. Outlook has to match 64-bit or 32-bit.

Install Outlook 2021 on Windows 10 or 11
A plain Click-to-Run install with nothing to configure and no restart afterwards.
- Close Outlook and the rest of Office. Setup stops part way through if it finds a mail window or a Word document open.
- Run the installer and approve the Windows prompt. Nothing to configure, so the window you get is only a progress bar.
- Allow ten to twenty minutes. Files stream down from Microsoft, so your connection decides how long it takes.
- Open Outlook and set up your mailbox. Type the email address and password and Outlook works out the rest for most providers. An Exchange or Microsoft 365 mailbox sets itself up from the address alone.
Moving from an older Outlook on the same PC? Your .pst and .ost data files stay where they are and the new version picks the profile up, but copy the .pst somewhere safe first anyway.
Activate Outlook 2021 with your product key
Under a minute, and it happens inside Outlook rather than on a website.
- In Outlook, click File, then Office Account. Outlook calls the page Office Account rather than Account, but it is the same screen as in Word.
- Click Change Product Key. If the page offers only Sign in, close that dialog. A Microsoft account does not activate this license.
- Enter the 25-character key from your order email. Paste it if you can. Dashes are added for you and capitals do not matter.
- Click Activate, then restart Outlook. The key is checked with Microsoft and confirmed on screen. Reopening refreshes the Office Account page.

Check that it worked
Go back to File, Office Account. Three things tell you the license landed.
- Product Activated appears under the product name. No countdown and no Buy now button.
- The product line names Outlook 2021. A Microsoft 365 name there means the wrong copy is open.
- Mail sends and receives normally. An unactivated Outlook goes read-only after its grace period.
Common errors and how to fix them

0xC004C020: the activation limit for this key has been reached
Online activation has been turned down and the key now needs telephone activation, which is a normal route for a volume key rather than a sign of a bad one. Outlook opens a phone wizard: choose your country, call the automated Microsoft line, read out the Installation ID and type in the Confirmation ID it gives back. 30015-25 or 30038-25: an existing Office is blocking the install
Setup has found an Office installation it cannot sit next to, most often a Microsoft 365 trial that came with the computer. Remove it from Settings, Apps, restart the PC, then run the installer again. If the entry will not uninstall cleanly, Microsoft Support and Recovery Assistant clears what is left behind. Outlook installed but the key never went in, or it went into another app. Click File, Office Account, Change Product Key and enter the key from your order email again. If the strip is still there after a restart, use Update Options, Update Now on the same page, then reopen Outlook. A PC that has been offline for weeks shows this until it reaches Microsoft once.
0xC004F074: Outlook cannot reach the activation servers
The connection rather than the key, and it is common on a work laptop. Check the PC is online, then look at the date, time and time zone, because a clock that is days out breaks the secure handshake. 0xC004C060 or the product key you entered is not valid
Usually the key going into the wrong app, or a single mistyped character. This key activates Outlook 2021 and nothing else, so it is refused in Word, in Outlook 2016 or 2019, and in a Microsoft 365 copy. Read it back against the order email character by character. If it matches and Outlook still refuses it, send us your order number: we check the key, replace it, or refund you under the 180-day guarantee.

Does Outlook 2021 work with Microsoft 365, Gmail and IMAP mail?
Yes. Outlook 2021 connects to an Exchange or Microsoft 365 mailbox, to Outlook.com, to Gmail and to any ordinary IMAP or POP account, and most of them set themselves up from the address and password alone. What the license does not include is the mailbox itself: it is the desktop app, not an email service, so you keep whatever mail account you already pay for or use for free. Gmail asks you to approve the connection in a browser window the first time.
How long is Outlook 2021 supported?
Microsoft supports this release with security updates until October 13, 2026, so it is late in its life and worth saying plainly. The license is perpetual and Outlook keeps working after that date, it simply stops getting patches, which matters more for a mail client than for most apps.
